Sales and Marketing Coordinator

Contract: Permanent
Hours: 37.5 hours per week, Mon – Fri 9am – 5pm
Location: Fitwise Office, Blackburn House, Seafield, West Lothian (mix of home and office working available)
Responsible to: Head of Sales and Marketing
Salary: Circa £24,000

At Fitwise we specialise in association and educational event management and we have an exciting opportunity for a Sales and Marketing Coordinator to join our team.

About the role:

Reporting to the Head of Sales and Marketing and the wider team, you will be responsible for providing sales and marketing support.

Main Duties and Responsibilities:

Working with the Sales & Marketing Team this position will include the development and implementation of sales and marketing campaigns to secure delegate and exhibitor attendance at one-day study days.

The role will also ensure supporting the team with the development of sales and marketing collateral, administrative duties related to the sales and marketing function, and other adhoc marketing and sales activities as required by Fitwise and its clients.

1. Event Sales and Marketing

  • Prepare and implement marketing and sales plans for a series of one-day study days.
  • Activities to achieve the above will include: attending client meetings, developing marketing collateral to include branding and flyers, developing sales collateral (to include prospectus, floorplans and booking forms, updating websites, writing and distributing broadcast emails to attract exhibitors and delegates, utilising social media, creating and launching online surveys and providing regular reports.
  • Process exhibition / sponsorship booking forms

2. Non-Event Marketing / Sales

  • Provide assistance to the team as they implement marketing plans for each association and for Fitwise which can include; membership recruitment campaigns, social media schedules, advertising campaigns, blog writing and any other activities as required by Fitwise and its clients.
  • Provide sales assistance to the team which can include database management (GoldVision), chasing artwork, drafting and distributing emails, securing booking for advertising, corporate membership promotion, and follow up on provisional bookings.

3. Events Coordinator Support (interim support)

In the short term, provide assistance to the Events Coordinator with a series of pre and post event tasks, which will include assisting with managing the Events inbox.

Skills / Knowledge and Qualifications:

Required:

  • IT proficient (Outlook, Word, Excel, PowerPoint)
  • Ability to quickly learn and be confident in the use of IT systems and platforms.
  • Excellent interpersonal skills
  • Adopts a methodical and systematic approach to work and time management
  • Confident and friendly telephone manner
  • Written and verbal skills are clear and concise
  • Works well within the team and is self-motivated
  • Has an attention for detail and accuracy
  • Ability to work well under pressure and to tight deadlines
  • Is persistent and tenacious, demonstrating an ability to solve problems creatively

Desirable:

  • Previous marketing or sales experience
  • Educated to graduate level or equivalent / or relevant experience
  • Previous experience of copywriting and proofreading]
  • Keen eye for design and visually creative

Working Environment:

The Fitwise Office is in Seafield, West Lothian. The office location is not well served by public transport (postcode EH47 7AQ). While the office is on a bus route, access can be tricky and we encourage candidates to take this into consideration. There is plenty of free parking available.

  • This is a hybrid role, and we are happy to accommodate a combination of home / office working (Usually 3 days in the office and 2 at home).
  • Requirement to attend several events each year (2-3) which will often involve a couple of overnight stays each.
  • Requirement to work occasionally outside normal working hours including evenings and weekends (time in lieu or overtime payment) to attend events.

Finance Assistant

Contract: Permanent
Hours: 37.5 hours per week, Mon – Fri 9am – 5pm
Location: Fitwise Office, Blackburn House, Seafield, West Lothian (mix of home and office working available)
Responsible to: Director of Finance
Salary: Around £26,000 (dependent on experience)
 
At Fitwise we specialise in association and educational event management and we have an exciting opportunity for a Finance Assistant to join our team.
Working within a small finance team, this position will provide finance support to a range of clients and events. The candidate would be responsible for the daily and monthly finance tasks for their clients including daily banking, posting and reconciling purchases and sales ledgers and reconciling external systems to SAGE.
 

About you:

  • Previous experience in a finance assistant role (2+years)
  • Experience of working with an accounting system e.g. SAGE, Xero or Quickbooks
  • Strong MS Office experience, particularly excel skills
  • Strong written and verbal communication skills
  • A people person with good team working skills
  • Pro-activity to identify and creatively solve problems
  • Qualified to minimum of higher level or equivalent including English and Maths

 

This is a hybrid role, and we are happy to accommodate a combination of home / office working.
