Marketing Assistant

 

Contract:  Permanent
Hours: 37.5 hours per week, Monday – Friday 9am – 5pm
Location:  Fitwise Office, Blackburn House, Seafield, West Lothian
Responsible to: Head of Marketing

Job Purpose: 
Reporting to the Head of Marketing, you will be responsible for implementing marketing campaigns on behalf of Fitwise and its clients.

Principle Accountabilities / Objectives:
Working with the Marketing Team this position will include the implementation of marketing campaigns to include event marketing in order to secure delegate attendance, membership recruitment campaigns and other adhoc marketing activities as required by Fitwise and its clients.  Successful event marketing is key for this role to ensure the maximum attendance and ultimate success of an event.

Additionally the role includes some responsibility for producing a number of publications on behalf ofFitwise and its client, including copywriting, proofing and coordinating the production.

Main Duties and Responsibilities: 

1.    Event Marketing: In conjunction with the rest of the Marketing Team prepare, implement and analyse marketing plans for a series of one-day study days.  Marketing assistance will also be required for larger annual conferences to meet a predetermined budget. Activities to achieve the above will include: client liaison, branding, updating websites, writing and distributing broadcast emails, purchasing mailing lists and implementing hard copy mailings, writing and distributing editorial, utilising social media, running advertising campaigns, negotiating contra deals, creating and launching online surveys and providing regular reports on all aspects of marketing activity for the organisers.

2.    Non Event Marketing: Prepare and implement marketing plans for each association for activities outside their events which can include; membership recruitment campaigns, design work, social media campaigns, advertising campaigns, negotiating and implementing contra deals, rebranding, blog writing and any other activities as required by Fitwise and its clients.

 3.    Publications: Take responsibility for some publications on behalf of Fitwise and its clients.  These publications are generally quarterly journals/ newsletters and responsibility includes chasing authors for copy to a plan agreed with the client, writing content, proof reading and liaising with the client, the Fitwise sales team and the publisher to ensure the publication meets its copy deadline. 

Skills / Knowledge and Qualifications:
Required:

  • IT proficient (Outlook, Word, Excel, PowerPoint and Publisher)
  • Excellent interpersonal skills
  • Adopts a methodical and systematic approach to work and time management
  • Written and verbal skills are clear and concise
  • Keen eye for design and visually creative
  • Works well within the team and is self motivated
  • Has an attention for detail and accuracy
  • Ability to work well under pressure and to tight deadlines
  • Is persistent and tenacious, demonstrating an ability to solve problems creatively

 
Desirable:

  • Previous marketing experience
  • Ideally educated to graduate level or equivalent
  • Previous experience of copywriting and proofreading
  • Familiarity with design packages, for example the adobe suite or others

 Working Environment:
The post holder will be predominantly office based at Fitwise Office in Blackburn House, Seafield, West Lothian although will be required to attend a small number of events each year. The post will require occasional work outside normal working hours including evenings and at weekends.

Head of Finance. Based in our HQ near Bathgate

Contract Hours : Either full time or min 3.5 days per week. 7.5 hours per day with possibly some scope to flex start and finish times

This is a fantastic opportunity to join Fitwise at an exciting stage in our evolution and to develop your career in a dynamic and fast paced environment.

At the moment, our senior level financial expertise is outsourced. This appointment will be the first appointment of a qualified, internal financial expert who will help shape and lead the Finance Department to ensure that it modernises and is ready for the future. You will be a member of the company’s senior management team and initially lead a team of three established Bookkeepers (one senior) and a Credit Controller.

May suit someone at an early, post qualified stage of their career who can already demonstrate rapid progress and significant future potential. They should also have some leadership experience with a small team. We are looking for someone who will commit to grow and develop their career at Fitwise’s West Lothian HQ.

There is longer term potential for the successful candidate to become a Board Director dependent on performance.

Responsibilities and Duties:

  • Reporting to the Board of Directors, and directly to the Managing Director you will have overall responsibility for all aspects of company and client financial management and control including systems/processes and reporting
  • We are looking for someone that will be able to save more than their cost to the business in the second year of their employment through systems improvements, efficiencies, etc
  • Facilitating and ensuring sound budgetary control, making recommendations to encourage the continuous improvement of financial performance and implementing relevant policies within the business
  • Contribute to the development and shaping of overall company and financial strategy. Challenging assumptions and decision making as appropriate and providing financial analysis and guidance on all activities, plans, targets and business drivers
  • Leadership, motivation and development of Finance Department to ensure that it meets current and future needs. Line management responsibility for three Bookkeepers and one Credit Controller
  • Financial input and advice for client contract pricing and new business pitches
  • Overseeing the smooth and accurate preparation of Fitwise and client monthly management accounts. Includes some direct, hands on client accounts responsibility
  • Review, development and control of profitable pricing policies based on accurate costings and target margins
  • Improve accuracy, efficiency and integration of all internal financial accounting/business intelligence systems and processes. Seamless link with other related company systems such as Eventsair
  • Financial support and analysis to all parts of the business
  • Managing UK statutory accounts and overseeing all tax and regulatory/compliance issues
  • Ensure that the SMT receives accurate and timely monthly dashboard management reports
  • Ensure that Fitwise continues to trade on a healthy and profitable basis and is able to comfortably meet its financial obligations with an ongoing positive cash flow
  • Leading, overseeing and supporting the preparation of all company and client budgets, forecasts and cash flows
  • Identify and maximise all grant funding opportunities for the business, e.g R&D tax credits, etc
  • Preparation of the companies’ monthly consolidated P&L, balance sheet and financial/management reports ensuring that they provide appropriate, clear and unambiguous information for board, senior managers and staff
  • Overseeing the payroll process, all tax and regulatory/compliance issues, debt management, working capital management and preparation of VAT returns
  • Some client key account management. Potentially some billable client financial advice and support
  • Close teamwork and co-operation with our external auditors and other relevant third party contractors

Requirements of the role (Qualifications, Experience and Skills):

  • Qualified ACA, ACCA or CIMA with 5+ years PQE
  • Ideally experience of working for a recognised accountancy firm managing a portfolio of SME clients or working in the business to business commercial service sector. Healthcare or charity sector experience may be useful but not essential
  • Strong business acumen and understanding of financial issues at both a strategic and practical level
  • Excellent communication and interpersonal skills internally and externally. A confident, articulate and persuasive presenter of financial data at to existing clients and new business pitches
  • Strong leadership and people management skills. Ability to inspire/motivate your team to achieve buy in to key business changes
  • Advanced level spreadsheet skills and PC literacy. Strong understanding of relevant accounting software (SAGE/XERO)
  • Strong experience and knowledge of financial/admin systems and processes
  • An inquisitive and creative mind with good analytical skills and the ability to draw logical conclusions and recommendations
  • Strong team working skills
  • Ability to work accurately under pressure to hit deadlines with good attention to detail
  • Ability to adapt and be flexible in the face of changing conditions
  • Highly motivated and energetic individual with a positive outlook
  • Occasional travel throughout the UK and Europe
